How to create Outreach Materials (publications)

Learn how to create Outreach Materials (the Publications content type) in the VA.gov CMS.

Instructions

The Content admin role or higher is needed.

  1. Go to the Create Publication node form.
  2. On the right, click the Section menu and select Outreach Hub.
  3. Enter content for the required fields: 
    • Name of publication
    • Publication listing - This field controls where on the VA website this will be displayed, and what boilerplate will be shown at the bottom of the entry.
    • Format - Users can filter by this field on Outreach Materials
  4. Enter content for any optional fields: 
    • File or video - can include PDFs.
    • Related Benefits - You can hold CTRL+ click to select multiple related benefits. Users can filter by this field on Outreach Materials
    • Meta tags - Enter as comma separated list. This description helps a user understand what the asset is without having to download it. It may also be displayed when the document is shared on social media.
  5. Scroll down to Editorial Workflow.
  6. Click the Save as menu and select Draft or Published as appropriate.
  7. Enter a Revision log message.
  8. Click Save.

Updating Files

When you upload a new file or video to an existing Publication, the URL for the file will change. Files are stored with the date in the URL, so every update will create a new URL.

For example: a file named Example.pdf: 

  • Uploaded in 07-2019: the URL will be "va.gov/files/2019-07/Example.pdf"
  • Update uploaded in 11-2022: the URL will be "va.gov/files/2022-11/Example.pdf"

If you have linked to a file from other sites, pages, or materials, and need to update the file on a publication, please ask the CMS helpdesk to assist you in requesting a redirect of the old file URL to the new file URL.
