Accessing the search tool
The content search tool is available to all editors with permission to publish content.
- After logging in, click Content in the main navigation toolbar.
- Click the tab item for Content audit tools.
- In the second row of tabs, under the breadcrumbs, click Content Search.
Purpose
The purpose of the content search tool is for internal VA teams to be able to complete necessary content audits on their own. This will allow content audits to be completed in a timely fashion, without being dependent on priorities and/or capacity of other teams.
Using the search tool
The search tool has multiple filters that can be used to help narrow down the results. You can use a single filter or any combination of the filters. Once you have added all your filters, click Filter. If you need to clear the filters, click Reset to return to the default view.
Filter options
- Type the keyword or phrase you would like to search for into the Search word or phrase field. This will search the entire entity for the keyword or phrase entered.
- Type the keyword(s) you would like to search for into the Title contains field to filter by entity titles.
- Click the Section dropdown menu and select the section you would like to filter by.
- Entity type has two dropdown fields, but of which must have an option chosen for the filter to work:
- In the first dropdown, choose either Is one of or Is none of.
- In the second dropdown, select the entity you would like to filter by.
- Choose options from the Content type select menu to filter by. You can filter by one option or multiple by using CTRL to select more than one option.
- Click the Moderation State dropdown menu and select the option you would like to filter by.
- As noted in the help text, not all moderation states are available for all content types. When filtering by a particular moderation state, if no results are returned, be sure the state applies to the content type & entity selected as well.
- Click the Published dropdown menu and select the option you would like to filter by.
- Filtering by Unpublished within this dropdown will display a list of results that combines:
- Moderation state - archived
- Moderation state - draft
- Moderation state - review
- Filtering by Unpublished within this dropdown will display a list of results that combines:
- Type the exact name of the section you would like to filter by into the Section field.
CSV Export
You are also able to download a CSV of the results.
- After you generate a search, click the Download CSV button which is above the filters.
- You will be taken to a new page that says “Exporting Data”.
- Depending on the number of results, this may take some time to complete.
- Once the export is complete, you will be brought back to the content search tool page.
- The CSV file should automatically download.
- There will also be a success message displayed at the top with a link to the CSV file if needed.
This same CSV link can also be used to send to others on the VA network who need access to the download.
- When you generate a search, copy the CSV link, by right clicking on the button and selecting Copy link address.
- Paste the link directly into the browser and the CSV will automatically start to download.
- This link can then be saved for use at any time to download a CSV of the same search criteria
- You can also send this link to another team member for them to download as well. The team member must be on the VA network and be logged into Drupal.
